I think this sounds great.  I do agree with the need for a paved lot.  Maybe we could stage for the run in one of the satelite parking lots that are paved?  There has got to be somewhere around the complex that is paved and is large enough for us to all park / stage. 

I agree that there was a bit too much speed at the beginning.  I think that was because of everyones fear of the car length rule.  Maybe if the first couple cars were reminded to not gun it out of the lot....LOL!  And figure out a way to keep non-MINI's from cutting in line. But if we all stayed tight and slow then they wouldn't be able to get in line.  Hmmmmhh. 

All other issues that I can think of are worked out (restrooms, concessions).   002   I look forward to attending and I am also available to volunteer.  Just let me know when, where & what!

1)  You could have the form online.  Just PDF it and have people download it, print it, and bring the copy already filled in.  Of course, you'll need tons of extras for the people who forget.  

2)  Separate the t-shirt sales from the registration table.  Make a large visible sign for registration.  

3)  Make sure your volunteers are well instructed on what you need them to do.  


Some questions to think about--

Do your volunteers all have to be members of C7M?  

What sort of expectations, meetings, time committment will you need from them?
 
Do you have people on a steering committee who have seen the big picture as you are envisioning it so they can help keep you focused?

I don't want to step on anyone's toes.  Simon and Randy plan well organized events and I've enjoyed myself immensely.  I have experience with big events too, and I am here if you want or need my help.  I follow directions well and sometimes it's best to have one or two team captains and lots of teammates.  Especially ones that don't drop the ball.  I make a pretty good teammate.  :morecool:

All great recommendations, especially the paved parking lot (though Taz likes dirt) and heads (port potties). I might add that if this is going to be as big event as it is starting to sound like, we might want to get some vendors/chartable sponsors (MINI parts and swag as well as food). A tiny bit of MOTD kind of feeling if you will. MC2 may be interested.

If this event is going to grow into what we all hope, I submit that perhaps HRMini should sponsor a particular portion of the event.  Some task or additional event added-on for all of the out of town guests we're going to have.  Marty mentioned the Dragon...it's my understanding that a few different clubs handle a few different things there.. welcome dinners and what nots.  

Just throwing that out there... I'm not sure what direction would be best.

welp, we're good at cookouts....hee hee~I GOT IT~we could throw a potluck!

Yeah, a few side dishes aren't going to feed 700+ people.  That said, coordinating with some local vendors to provide food for a somewhat low price might be worth exploring.  The last set-up at Conklins was sweet...but we'll need double the capacity, and something set up on site would be even better!

I would agree to getting someone to lead the pack with a very light foot.

Helping find hotels for people from out of town would be helpful to get more folks.

More fan fare about the event on NAM.

Make a Saturday and Sunday event out of it.

I'm sure we could get a hotel to block rooms with a special mini event rate for the weekend.  I know when I was on the board of the local darting association, we had huge tournaments with lots of out of town people.  The hotel where we held the tournament gave reduced rates for the event.  If this is a Sat and Sunday event, we might see if a hotel would be willing to have a cash buffet style dinner on Saturday night with a bar available.  Maybe some entertainment?  Just a suggestion.

Aahhhh the sweet, sweet smell of progress!!

Many restaurant chains, Lone Star, OutBack, Olive Garden all have capabilities to feed hundreds of people at a time.  The best thing about having a company/vendor take the lead on the feeding is they already know what it will take to pass the on site health inspection.  There are a few details to that!!

I'll volunteer to look into food.

yup. I agree with that completely.

Other suggestions:

have the route marked somehow - if the city of VB is along for the ride, so to speak, find out if there can be markers along the route.

Publicize it more, at least to the folks who live in area. Maybe put up some signs in high-traffic spots and put flyers in people's mailboxes letting them know it's going to happen. The long line of vehicles waiting to make turns into neighborhoods probably frustrated the locals. If they're more informed, they might be a little less frustrated. Also might keep trucks from jumping into line.

If the event is going to be as big as you would like, have folks walking around with any of the following: water, t-shirts for sale, decals for sale, etc. Or have several well-marked booths for those things. Maybe even give away commemorative water bottles?

In lue of a paved lot, which I'm not thinking the city is going to do in the next year, could we get one of those water trucks to mist down the lost to keep the dust down?

Or get Myra to pave the lot!! :D

Great suggestions all. Getting vendors is a sticky issue at the moment with the sportsplex. They contract and we need the city to give us some speciial treatment to wave that . We have a meeting with the City council soon to see where we can go with this. The two day event is in the works for 2009 as we want to see how 2008 pans out. When we meet with the city we will ask for their support with local hoteliers with regards tto special rates etc. As this is firmed up, MINIUSA will advertize for us on their site nationally. I would like to propose we all meet to brainstorm and get tasks assigned to those who are willing. More to come..... :D
